Form distribution
Form distribution emails a filed form to the people set up to receive it. Each email links to the signed record, and a recipient with no address on file is recorded, not dropped.
Request a demoWho gets each form
Who receives each form is set up with you during onboarding. A setup can cover one form, one project or the whole account, and the most specific one wins. Recipients can include the person who filled in the form and set email addresses. A form can also ask for up to five extra addresses to copy, which are added to the list.
What the email carries
The email says which form it is, who filed it, on which job, and why the reader is getting it. It links to the signed record as a PDF, and the link expires after 14 days or when it is revoked. Every time the link is opened, the open is recorded. A PDF copy can also be attached for a form that needs filing, and that stays off unless it is set up.
Nothing dropped
A recipient with no address on file is recorded as No recipient, with the reason. The send list is saved with the record, so an email problem never stops a crew's form from filing. A failed send is tried up to five times, from one minute to three hours apart. An email reads Delivered once the mail provider confirms it, and Handed to the mail provider until then.
Fixing what did not arrive
The Undelivered forms page lists the forms that have not reached everyone on their list. Requeue looks the recipient up again and sends once more, and each requeue is logged. Each filed record shows its own distribution log.
What Form distribution is not
Email is the one channel it sends on. It does not file records into another document system. Routing is not built from a screen in the app, and admins add or remove addresses on the recipients page. It is off by default, and it sends nothing until a form has recipients set up.
- Who sets up where forms go?
- It is set up with you during onboarding. Admins can then add or remove email addresses, and each change is logged.
- Can someone without a Panora login read the record?
- Yes. The link in the email opens the signed record as a PDF without a sign-in, until it expires or is revoked.
- What if an email fails?
- It is tried again up to five times. Anything still undelivered shows on the Undelivered forms page, where it can be requeued.
